Join our team as an Export Sales Coordinator!
The Export Sales Coordinator must be Bilingual English/Spanish, customer service oriented, and possess some export and parts/machinery knowledge. This person is responsible to enter customer quotes and orders in our SAP system for units and parts. The coordinator provides follow-up of orders, such as verifying the availability of product, arranging export logistics and documentation and ensures we meet our export compliance procedures. The candidate must also be familiar with Excel, Word, Kofax Power pdf, ocean & air logistics, dangerous goods documentation and working with forwarding companies.
Responsibilities:Essential Duties and Responsibilities:

• Responsible for incoming calls, emails, faxes from international customers, forwarders, etc.
• Supports our Outside Sales representatives
• Handles a high-volume of emails and documentation
• Provides prompt and accurate creation of quotes and orders in SAP: Account number, Model/Part number, price, payment terms, freight terms, delivery text information, availability information, etc.
• Responds and follows-up on orders and customer requests to guarantee customer satisfaction: model number, part number, pricing, availability, tracking shipments, export documentation, etc.
• Notifies customer of any pertinent changes made to sales order and provides updated order confirmation
• Follow up on Open Order report provided once a week via our Dept email
• Cooperates, communicates and follows-up with customers, co-workers, supervisors and other department contacts in order to guarantee our customer satisfaction
• Works closely with freight forwarding companies on air and ocean shipments and complies with export shipping documentation
• Prepares the required export shipping documents (using SAP, Excel/Word, Kofax Power pdf)
• Ensures the accuracy of return materials authorizations (RMA)
• Maintains accurate parts books and Export notes to enable prompt answers to customer inquiries
• Participates in the development and implementation of departmental procedures and methods.
• Dangerous goods awareness and documentation
• Understands and ensures that export shipments meet our export compliance procedures (BIS-711 form & internal ETAR process)
• Performs other duties that may be assigned
• Complies with all departmental and company-wide policies and procedures.

Qualifications:Education and/or Work Experience Requirements:

• High School Degree; AA Degree ideal or some college experience
• Bilingual English/Spanish (proficiency – speak, read and write)
• 1-3 years export experience
• 1-3 years of exceptional customer service experience, which includes researching and resolving problems.
• 1-3 years parts experience (machinery or auto parts)

• Knowledge of SAP software desired
• Proficient in Outlook emails, MS Office (Excel and Word), Kofax Power pdf; ability to learn required business systems
• Highly organized
• Thorough and attention to detail
• Handles high volume emails and documents
• Must be able to learn continuously and improve knowledge on export practices and company products
• Familiar with dangerous goods certification for air shipments
• Understands INCOTERMS 2010 & 2020 (EXW, FCA, CFR, CPT, CIF, CIP, DAT, DDU, DDP,)
• Reads and interprets documents, such as policies and procedures, product literature, operating and maintenance instruction manuals and diagrams
• Calculates figures and amounts, such as discounts, percentages, interests, proportions, area, circumference and volume
